Introduction to the administration, control and monitoring of work orders
Once generated work orders, the administration, consultation, updating and monitoring of the generated work orders is carried out in the module Work orders.
Currently generate a work order, the MP assigns a consecutive folio number for each work order generated and concentrates them on the module Work orders, so that in this module the user can consult, print, update, cancel and close the generated work orders.
When entering the module, a list of all the work orders generated is presented and when selecting one of them, the lower panel shows the detail of the activities that make up the selected work order and the dates for their completion. At information panel You can see more details of the selected TO.
Use the sort and filter tools to easily locate the work order you want to view, print, update, cancel, mark list to close or close.
Use the TO filter tool to limit the consultation of work orders by OT status (open, closed, canceled) or by person in charge.
As the works contained in a work order are physically carried out, the maintenance administrator must provide feedback in the system on the progress of the TO, indicating or marking the works carried out. We call this process in the MP Update OT.
Use the mouse pointer to mark the dates when each of the activities were carried out.
For a better visual control, a column of the module mesh shows the progress or percentage of each OT.
UPDATE WORK ORDERS
When updating a work order, the MP allows to record measurements, include images of how the equipment was before and after the work was done, record readings and record consumption of spare parts and external services.
In case the maintenance work requires taking a measurement, the MP will automatically display a window for you to enter the measurement taken.
When the order of a non-routine work is updated, it can also include the procedure performed, the cause of the failure, images and add the routine maintenance activities that were carried out as a result of a particular repair.
A column of the module grid graphically shows the progress or percentage of progress of each OT.
Mark OT ready to close
When you update a TO and indicate that all the jobs contained in the TO have been completed, the PM automatically marks the TO as a ready-to-close work order, since there is no more to work on it.
However, in practice it is common that for various reasons it is not possible to physically carry out all the works contained in the OT. In these cases, only the jobs that it was physically possible to perform are updated or marked and the OT is manually marked as ready to close, thereby indicating that no more work will be done on said OT.
Before closing an OT, it must be marked that the OT is "Ready to close".
Use the Mark TOs Ready to Close tool located on the toolbar or in the module's submenu to manually mark multiple selected TOs as ready to close.
When the OT period, it must be closed, regardless of whether or not the work contained therein has been carried out.
When the OT is closed, the routine jobs carried out are automatically rescheduled according to your maintenance plan and the jobs that have not been carried out, appear again in the list of jobs pending to generate an OT, so that you can generate a new OT containing the works that for some reason it was not possible to carry out in the period.
Use the filter tool to select work orders that are overdue and ready to close.
In case the administrator wants to document observations regarding closed work orders without having completed the work, he can do so with the tool observations, thus stating the reason for such situation.
All closed work orders are available for consultation. Use the options filter to view work orders for a period determined.
Expired OTs alert
In the module Alerts, the PM submits expired work orders that have exceeded the tolerance in days to update and close them. In configuration options, the user establishes said tolerance according to their own criteria.
Cancel a work order
When canceling a work order, the PM allows to document observations regarding the reason for the cancellation.
Work orders that have already been updated cannot be canceled, that is, when part of the activities that make up the order have already been marked as completed, in such a way that once the work order has started, it must be closed to finish working with her.
